Stop wasting your meeting notes: Let this CustomGPT do the heavy lifting
If you’re running a business, leading a team, or managing clients, your calendar is probably packed with meetings. Some are productive. Others feel like a blur. But almost all of them end the same way:
You close the laptop. You move on.
And the meeting notes? They sit in a doc. Unused. Forgotten.
That’s where this tool comes in.
Meet: Meeting recapGPT
A CustomGPT built to turn your meeting transcripts into strategy, follow-ups, and results.
This tool reads the transcript for you—and gives you everything you need to keep the momentum going.
What it does for you:
✅ Summarizes your meeting in plain English
✅ Pulls out insights like goals, objections, and next steps
✅ Recommends actions across revenue, product, service, and relationships
✅ Breaks down follow-ups by team (Sales, Marketing, Product, etc.)
✅ Flags risks and missed opportunities
✅ Finds testimonial-worthy quotes
✅ Writes your follow-up email
✅ Creates a categorized to-do list
No transcript? No problem. Here’s how to get one.
You can create a meeting transcript in a few clicks using whatever video platform you’re already using:
Zoom
If you’re on a Zoom Pro (or higher) plan:
Go to your Zoom account settings.
Under Recording, turn on “Audio transcript.”
After your meeting, Zoom will automatically create a transcript file (usually within 15–30 minutes).
Find it under Recordings in your Zoom dashboard. Look for the
.vtt
or.txt
file.
Microsoft Teams
Schedule and record your meeting in Teams.
After the meeting ends, go to the Meeting Chat or Calendar entry.
Click Recordings & Transcripts > Download transcript.
You’ll get a time-stamped .docx file you can copy into the CustomGPT.
Note: Transcription must be enabled by your IT admin in Microsoft 365 settings.
Google Meet
When you schedule a meeting in Google Calendar, check “Record meeting” (available to certain Google Workspace plans).
After recording, Google will email you a link to the video and transcript.
You can also find it in your Google Drive > Meet Recordings folder.
Note: Transcription in Google Meet is currently available for English and select Workspace tiers.

Here are AI tools I recommend:
Otter.ai – Automatically records, transcribes, and organizes meetings. Works with Zoom, Teams, Meet, and more.
Fathom.video – Free, easy-to-use Zoom companion that transcribes and summarizes meetings instantly.
Fireflies.ai – Works with multiple platforms. Offers meeting recording, transcription, and action item detection.
Whisper by OpenAI – For advanced users. Open-source transcription for audio files.
Once you have the transcript, just copy-paste it into Meeting Transcript Advisor and let the GPT do the rest.
